Corporate event photography has a clear job: produce assets the marketing, communications and sales teams can use for the next twelve months. That only happens when the brief is right.
Define where the images will be used first
Website hero banners need wide horizontal frames with negative space for text. LinkedIn needs square and portrait crops. Recap reels need vertical video. Press releases need clean, well-lit speaker shots. Decide the outputs before the event and the shot list writes itself.
Brand visibility is a deliverable, not a bonus
Sponsors and stakeholders will want evidence. Provide a list of logos, banners, activations and branded moments that must appear in the gallery, and identify which sponsors need dedicated coverage. This is the single most common gap in corporate galleries.
Name the people who must be photographed
Provide a VIP list with photographs or a staff member who can identify executives, board members, keynote speakers and major clients. A photographer who does not know who matters will produce a beautiful gallery missing your CEO.
Consider a headshot station
If your team is in one place, a thirty-second-per-person headshot station is the highest-value add-on in corporate photography. A consistent, professionally lit set of headshots across an entire department is otherwise a logistical nightmare to arrange.
Plan the delivery schedule
For multi-day events, request a same-day selection of twenty to thirty edited images each evening so your social and PR teams can publish while the event is live. The full gallery can follow within a week.
Confirm the practicalities
Access times, load-in, AV lighting conditions, whether stage lighting will be gelled, restricted areas, media policies and whether attendees have consented to photography. Twenty minutes of coordination prevents most on-the-day problems.
